Setting up Your Products for Online Ordering

October 3, 2011

Attention Suppliers,

It is critical that you allow your Distributors to not only research your products online, but furthermore, efficiently order your products online. DistributorCentral provides the best product setup solution in the Promotional Product Industry for online ordering. We are also the only service provider that has a system with an aggregated list of the top industry Suppliers, which allows Distributors to order and promote your products online through an actual shopping cart.

What does it take to setup your products for efficient online ordering?

Base Product Information
It starts with great, end user friendly, base product information. Product names, numbers, strong keyword descriptions, nice product images, and of course…current pricing.
Click here to watch a short video on how to set up your base product information.

Options and Choices
Next, is configuring Options and Choices for your products. Options and Choices are the key to allowing your products to be ordered online. An Option is where you present a question to your customers regarding how a product can be customized.

Common Options would be:

- Product Color (choices for this might be, black, white, blue, red, etc.)
- Product Sizes (choices for this might be, small, medium, large, etc.)
- Imprint Location (choices for this might be, front, back, left center, etc.)
- Additional Imprint Colors
- Rush Charge
- Stock Art

Basically, any question regarding customization and add-on charges that apply for your products, should be added as an Option. In times where Options might be too complex to order online, we suggest just adding that information into the Description or Additional Info areas of your products. It’s important to keep the shopping cart process for your products short and simple. We suggest that you setup products with the most common options that your average customer may want to select, however we do not recommend adding every possible Option, since that may cause your products to become too complex to order online by the average customer. More and more Suppliers are starting to consolidate charges for their products and incorporating them into the per piece pricing. Setup charges are becoming a relic of the past with the top industry Suppliers who realize that the more simple a product is, the more likely it is to be ordered online!

Click here to review a guide on how Options and Choices work to allow your products to be efficiently ordered online.
Click here to watch product setup videos that explain how to setup Options and Choices for your products.
Click here to view a demo product that is currently configured on a Distributor website.

Regarding Options, you can decide which ones are required or optional in the shopping cart process. Required, means that customer would have to make a selection before proceeding with the order. Options like, Product Color, should be required since you would need to know that information to be able to process the order.
Click here for more information regarding, “Required” vs. “Optional” Options.

Adding Freight to Your Products
This is one of the most heavily requested features from the Distributors on DistributorCentral. Not only can this help increase online orders, it can also drastically cut down on calls to your customer service department…best of all, it’s not that hard to do!

August 9, 2011

Hello Suppliers,

When setting up your products in DistributorCentral, you can easily recommend other products to Distributors and End Customers (via Distributor websites) when they are viewing or ordering a product. It’s a similar feature that you see in other online shopping sites, such as Amazon.com. See the You Might Also Like area in the example below.

Here’s how to use the feature:

- Go to the Products menu, and select Add/Edit Products
- Click on the Edit link for any product in your account
- Go to the Ordering tab and scroll down until you see the You Might Also Like area
- Select the products that you’d like to recommend along with that product and click on Save
- Repeat this process for the other products in your line

Ideally, when using this tool, the products you recommend should be all similar. You can select as many products as you like for the You Might Also Like area. If you go over five, our program will add arrows so that the viewer can scroll through the products.

Suppliers – Control your own Data on DC with spreadsheet exports and uploads.

July 26, 2011

Did you know that you can export and upload your DC spreadsheet for importing back into your Product Database from your own DC account? Then you can track that update and you will be notified upon the completion of the product update. Export your data: You can export your Product, Option and Choice data from your DC products. Most Suppliers only need to export their Products data though for pricing update purposes. You can do this in 3 places:

1. On your home page, under Shortcuts on the right side.

2. You can also go to Products Tab > Product Data Export > Excel Data Export 3. Finally, you can access this same export from the Product Editor at the bottom of your product list. Once you click on Export, you will have the opportunity to export certain fields and criteria. Then “Submit” the file and you will receive an email with a link to download it for editing. Learn how to work with the Data in the spreadsheet here: Upload your File: When you have edited your file and saved your changes, you can then upload it again for importing. You can upload it in 2 places: 1. You can upload it under Shortcuts on the right side of the home page. 2. It can also be uploaded in the product editor at the bottom of the product list. Once you click on “Upload Product Data Updates” there will be some basic data questions to answer and a file upload at the bottom of the page . Once the file is uploaded, you can track the upload and you will receive an email when we complete it. Watch this video to download your spreadsheet and upload it back to DC: Learn more about exporting your data for other service providers: http://blog.distributorcentral.com/2010/12/03/exporting-contact-information-for-other-service-providers/ Once you have your data imported, make them display with this guide: http://www.distributorcentral.com/resources/education/guides/ProductCompletionGuide.pdf

Convert Orders into Quotes

May 13, 2011

DistributorCentral has added a new feature which allows you to convert and existing order back into a quote where you can then have your customer review and confirm before committing to an actual order.

To access this feature:

- First, look up your previous order in your DistributorCentral account

-  Then click on the Reorder button on the right side of the page

- From here, you can indicate the order type; An exact reorder, A reorder with changes, or Rework of previous order (see description of these below), and then select the check box for Convert Reorder into Quote

- Then click on the Create Reorder button (see example image below)

- From here, you can revise the quote if you like, and then click on the Finish button officially save the quote, where you can then send it to your customer…if you customer approves the quote, you can then convert that quote back into an order.

Reorder Types

Reorders can be created for any orders in your DistributorCentral account. However, it is only considered a Reorder if the order is for the same Customer. If the order is for a different customer, then you should always enter the order as New Order as opposed to a Reorder.

An exact reorder – This indicates that there are no changes needed to the artwork/printing of the original order. Even if the quantity, shipping information, etc. will vary on the new order, it’s still considered an exact reorder if the artwork/printing remains the same.

A reorder with changes – This indicates that you will need revisions made to the artwork/printing of the original order. For example, if there needs to be a change in the imprint color(s), a change in the imprint, etc.

Rework of previous order – This indicates that there was a discrepancy or mistake with the original either on the Supplier end or on the Distributor end. For example, if the Supplier printed the wrong artwork, the Distributor indicated the wrong shipping address, etc. Oftentimes, the Supplier and Distributor parties involved will agree to a reduced price for Rework orders.

November 11, 2010

It is that time of year again!

Suppliers, remember to update your products and pricing on DistributorCentral.

There are a couple of ways to accomplish this. . .

This will allow you to update all of your product pricing including product setup charges. Then you just send it back to info@distributorcentral.com and we will update the system.

Attention Suppliers: Good Product Descriptions = Maximum Visibility

August 19, 2010

The DistributorCentral product search engine searches for your product information based on the keywords that you enter in for the product Names, Numbers and Descriptions

It is essential that you put relevant, detailed product descriptions for your products in DistributorCentral, so that you get maximum visibility for your products as well as making it easier for Distributors and End Customers (via Distributor websites) to find your products based on keyword searches. However, don’t get too carried away and put terms that are not relevant to that specific product. For example, you should not put a list of other products that you carry in the description of a product.

Regarding terms for products that can be perceived in different ways, make sure to put common interpretations in your product descriptions as well.

Example 1 – If you have a Two Tone ceramic mug, you may want to add the keyword 2 Tone in your product description as well, so that your product comes in both searches. For example, you can say in your description, “Our popular Two Tone (2 Tone) ceramic mugs, are available in six vibrant color combinations”.

Example 2 – If you have product that includes a Carabiner clip, you may want to include, “also known as Karabiner”, in your product descriptions as well.

Take in consideration that your product information is not only populating the DistributorCentral search engine for Distributors, but is also populating 1000’s of Distributor websites for End Customers to view. So it is imperative that you keep your descriptive product information (this includes Options and Choices) End Consumer friendly. This will increase Distributor confidence and help them to better sell your products via their DistributorCentral websites.

Suppliers, Create Template Website Layouts for Distributors

May 12, 2010

Attention Suppliers, you can use your DistributorCentral account to create a website template to give DistributorCentral distributors an easy way to promote and sell your products. Once created, distributors will be able to easily use the template to customize a website in their own DistributorCentral account to better market your products to their customers.

Click here to see an example done by TradeNet Publishing

When creating your template, you’ll want to keep the design fairly basic and simple, so that distributors can easily modify and customize the website template.

Call DistributorCentral at 888.516.7401 or email info@distributorcentral.com for more details.

Suppliers- Do you have a Virtual Catalog?

February 23, 2010

Did you know that you can create a virtual catalog on DC as a Supplier?

You can upload your catalogs directly to your account under Products Menu> Upload PDF/Virtual catalogs.

The requirements for a PDF catalog are:

1. File must be a PDF

2. File must be smaller than 100 mb in size for Virtual Catalog use

(Please note that for DC to index your catalog for product searches, you will need to upload a file smaller than 30 mb. Most Suppliers are uploading the complete catalog for Virtual catalog purposes and then also separating their catalog into sections to be indexed in product searches and uploading them as separate files in this same area)

3. File should also be about 72 dpi resolution

Follow these steps to upload and get a link to your catalog that you uploaded:

1. Login to your DC account at www.distributorcentral.com

2. Go to Products Menu> Upload PDF/Virtual Catalogs

3. Click on Add New Virtual Catalog on the right

4. Enter in the Name that you would like to display for the catalog, a start and end date if needed, and click Browse.

5. Find the file on your computer and click Upload. It could take some time to upload depending on file size.

6. Then click on Save.

7. Now you will see that the file is listed on the PDF/Virtual Catalogs page. Under the catalog, click on Direct Link. This will generate the link that you would use to add the virtual catalog to your website. Copy the link in the address bar.

Suppliers: New Product Editing/Updating Features

January 25, 2010

In an effort to help our Suppliers keep their product data up to date as easily as possible, we have added a few requested features to the product editor. Some of these features are below:

1. The Product Display Status Report. This report isn’t a brand new feature but we have added new ways to sort the report and new columns to the report. The report is meant for a Supplier to quickly glance through their products to see if they are displaying, if they have images, etc. If they aren’t displaying, you can quickly see why and correct the issue.

There are now added fields to allow you to sort the product status report by item number, name, or last updated date. The other fields available to sort by are Product Name, Style Number, Created Date, Updated date.

2. For those  Suppliers that set updated pricing to start at a future date, you can now quickly copy your current pricing to the future pricing for any specific product to help cut down on re-entry. To see this feature, go to edit a product and click on the pricing tab. There on the right side there is a link called “Copy current pricing to Future pricing.”

3. Product Updated dates are also easy to see for your products from the Product List page. You can tell when a product was last updated without editing it.

Let us know if you have any questions regarding updating your products.

Banner Advertising On DC Home Page

November 23, 2009

You might notice a new look on your Distributor DC home page. On either side, there are now small Supplier ads. These ads include specials and new products that these Suppliers are offering.

Suppliers pay to provide a system to distributors free of charge and part of that support is through the opportunity to display pertinent ads about specials, new products, and other information to distributors.

If it is found that Distributors feel strongly about this new feature, there may be an “ad-free” version of the DC home page available in the future.

Suppliers: Contact your Account Representative today to display your ad! Call 888-516-7401.

Suppliers…Make Sure to Optimize Your Products

November 23, 2009

ATTENTION SUPPLIERS:
When entering your products into your DistributorCentral account, make sure to include plenty of relevant keywords in your product description. Strong product descriptions will make it easier for Distributors to find your products from within their accounts, and will make it easier for them to sell your products on their websites.

Look at these to examples below:

This product has a weak description and virtually no keywords which would make it very difficult to find in the product catalog unless the customer knew the exact product name or number. You should not expect products with descriptions like this to have much success in DistributorCentral.

The Eastwood Series with Metallic Accents
# WAMA-150

The Eastwood Series with Metallic Accents

This product on the other hand has a great product description with lots of keywords which makes it easy to find with keyword searches and will help the Distributors sell the product on their websites since end customers will know more about the product and feel more comfortable purchasing it.

Chubs Widebody Ballpoint Pen w/ Rubber Grip
# 5003 Widebody Ballpoint Pen w/ Grip

As the name denotes, this pen is a bit thick (or Chubbier, if you will). Great for your advertising message to stand out with its translucent barrel. Distributors: be vocal to your Suppliers

November 18, 2009

Distributors, are you letting your Suppliers know where you find their products? You should.

When you tell your Suppliers how you found them and their data, you are benefiting yourself and the Supplier. A Supplier usually budgets a certain amount of money each year for advertising and marketing. If they don’t find a benefit in advertising a certain way, they will stop.

This benefits you as the Distributor because you are insuring that you will continue to be able to find this Suppliers products and this Supplier will continue to provide you these free services. Also by “Getting the word out”, you will be helping to bring more quality Suppliers to our database of products.

This benefits the Supplier because they know where they are getting the greatest benefit and Return on Investment.

So, the next time that you call a Supplier, make sure to mention “I found your products on DistributorCentral.”

Now Available- More Product Information

October 7, 2009

We have added a new feature that will allow Distributors to do a keyword search in their DistributorCentral account and receive results not only from our product database but they can also receive results for matching Supplier PDF catalogs and Supplier email flyers!

To try this, just do a keyword search in your account. For example, try “magnet.”  You will see 2 new tabs above your product search results, SupplierCatalog and SupplierEmail.

SupplierCatalogs and SupplierEmails

If you click on either of those tabs, you will see any Supplier Catalogs or Emails that match your search criteria. You can browse through their catalogs page by page or view all their advertised specials in one area.

This would allow you to access even more resources to research products than we could provide you as a distributor before.

Each Supplier has access to upload their PDF catalogs and flyers, so feel free to ask your favorite Suppliers to do so if you don’t see them currently there!

Suppliers-

You can submit your Email flyers by adding upload@supplieremail.com to your email lists or just forward any of your recent email flyers to that address.

You can upload your catalogs by following the below instructions:

  1. Log  into your account at www.distributorcentral.com
  2. Go to Products Menu and down to Upload PDF Catalogs
  3. Browse your computer and select the PDF catalog that you would like to upload
  4. Name the catalog
  5. Then select Save to upload the file ( it could take a few minutes depending on the file size)

Suppliers, Make Your Products E-Commerce Ready

August 13, 2009

DistributorCentral has found Suppliers that are experiencing the most success with their products on the DistributorCentral database are creating those product shopping carts with one main objective in mind: Simple and complete information that is End User Friendly.

There are a few ways that we have tried to help you accomplish this.

  • Suppliers have the capability to decide whether options are “required” or are “optional.”

By only listing those options that must be selected to generate a complete order as “required,” Suppliers will allow those Distributors who only want basic options available to eliminate those “optional” options from their catalog of products. This will make it less complicated for customers who do not have an understanding of the promotional products industry and it will generate more orders. The distributor will still be able to utilize those more complicated options once they receive an order from their customers.

  • They can list any Special information in the “Distributor Only” area under Additional Info in their product editor.

Distributors will see this “Distributor Only” information but it will not show on their websites and not to the end customer. So this is where the supplier might list margin info or shipping options, etc.

  • A new way that Suppliers can test their products is now available in the Product Editor area of their DC account. This is called the E-Commerce Rating.

Ecommercerating

This feature will allow Suppliers to test products that they have set up against some basic criteria that DistributorCentral has created to determine if their product is E-Commerce ready.

Some of the criteria products are tested against:

  • Too many options or no options available at all
  • Pricing should be available
  • Should not have Supplier Company name and sensitive data in the description
  • Options available should include decoration methods and available color options for each product
  • Images should be available
  • Description should not include industry terms such as “4 color process” or “setup charge” etc

The results are offered as a percentage. 100% is the perfect E-Commerce product according to this test.

You can find this feature by going to the Products Menu and clicking on Add/Edit Products. Select Edit next to the first product that you would like to test for E-Commerce Ratings and see your percentage in the top right corner.

Please note that a product must be displaying in the DC catalog to show the E-Commerce Rating Feature.

New Feature for Suppliers- Color Coded Data

July 8, 2009

Attention Suppliers-

DistributorCentral has added color coding to your Distributor data in your account.
Beside each distributor, there is a number. This number is the total orders this distributor has entered in the system.
Now the number will be color coded.
Green means that the distributor has done orders in DC with other suppliers.
Black means that the distributor has done orders in DC with your company.
Red means that the distributor has not done any orders in DC from this account yet.
This can help your order entry or customer service departments to better distinguish between different accounts and make better decisions on which account to use.

Suppliers- Do a Quick Quote!

January 19, 2009
DistributorCentral has added a new feature to the supplier account Home Page.
You can now quickly enter your item number or numbers and quantity or even different quantities and receive a quote.

5. Then you can customize and edit the quote
6. When finished, select Finish in the bottom right hand corner of the quote.

That’s it! You have created a “Quick Quote.”
